We bought licences and the team went back to Excel

The situation

A capable platform, properly paid for, and a sales team maintaining their own sheets alongside it. Usually the CRM demands fields the team cannot fill at the point of entry, or takes eleven clicks to log something that takes one line in a spreadsheet.

What we do

The situation

The honest part

Deduplication across sources is messier than it sounds. The same person appears as three records with two spellings and a number stored four different ways, and cleaning that is part of the project.

The field team has no signal

The situation

Reps at sites, in basement warehouses or in rural belts, entering visit notes hours later from memory if at all.

Offline-first on mobile. The app accepts the entry, stores it locally and syncs when a connection returns, with conflict handling that does not silently discard somebody's afternoon.

The honest part

Offline sync genuinely adds cost and testing effort. It is worth it for field teams and a waste of money for an office-based one, so it is a decision to make explicitly.

Month-end reporting takes three days

Somebody exporting from several systems and reconciling in Excel every month, with the numbers arriving too late to act on and just often enough to be argued about.

When this is the wrong thing to buy

Custom software is a long commitment and frequently the wrong answer. These are the cases where we will tell you so.

  • A standard CRM would genuinely fit. If Zoho or HubSpot does the job with configuration, buy the licence — we will say so, and we will help you configure it if that is useful.
  • You want it in six weeks with no internal time available. Custom builds need your people for decisions, testing and training, and a project without that access produces software nobody asked for.
  • The process is still being argued about internally. Building software around an unsettled process bakes the argument into the system, and changing it later costs considerably more than settling it now.
  • There is no budget for what happens after launch. Custom software needs hosting, updates, fixes and someone to call. A build with no support plan becomes a liability in about eighteen months.
