The promise of an AI assistant is simple: enquiries answered instantly, at any hour, on the channels your customers already use. The risk is just as simple: an assistant that guesses, over-promises, or loses the lead in the handover. The difference between the two is not the model. It is the design decisions around it.

What an assistant should do

  • Answer the questions you get every day — hours, location, what you offer, how the process works — from content you have approved.
  • Ask the two or three qualifying questions a salesperson would ask first, and record the answers.
  • Capture the enquiry as a lead in your CRM with its source, not in a chat log nobody reads.
  • Hand over to a person the moment the conversation goes beyond what it knows, and say so plainly.
  • Work on the website and on WhatsApp from one knowledge base, so the answers do not drift apart.

What it should never do

Quote a price it was not given. Promise a delivery date. Give medical, legal or financial advice. Claim to be a person. Answer from the open internet rather than from your approved content. Each of these is a real incident we have seen with assistants built without guardrails, and each costs more trust than the assistant ever earned.

Ground it in approved content

The safest assistants answer only from a knowledge base you control — your service pages, your FAQ, your policies — and say 'I'll have someone confirm that' when the answer is not there. This is a design constraint, not a limitation. An assistant that admits its limits is trusted; one that improvises is switched off within a month.

Design the handover before the greeting

Decide who receives a qualified conversation, how they are notified, and what happens if they do not respond within the hour. The assistant's job ends with a lead in the right hands; if that hand-off is vague, the automation has simply moved the point of failure. Log every conversation against the lead so the person picking it up can read what was already said.

Measure it like any other channel

Track conversations started, leads captured, leads that a person accepted as qualified, and leads that became customers. Read a sample of transcripts every week — the questions it could not answer are your next content and your next training data. An assistant is never finished; it is maintained.

Privacy and consent

Tell people they are talking to an assistant and what happens to what they type. Store conversations with the same care as any customer data — access-controlled, retained for a defined period, deletable on request. If you operate under data-protection law, the assistant is inside its scope like every other system that holds personal information.

The best assistant is not the one that answers everything. It is the one that knows exactly which questions to hand to a person.
